Hi Errol,

This is good to know! Quick background on my knowledge. From 2016 to 2020 I submitted our annual data package to Olga Baranova and then Nazila Merati via Google Drive and they worked their magic. In 2021 I was advised to submit through S2N so I have only done this once before. I was told to write "Please note that this submission is a revision to our existing accession, 0039614" in the comments section and so that's all I did (well, it auto-populated from the last archive). If the "comments" field on the last tab of the "new package submission" is the correct location for the instructions you're asking about, I will make a note in the directions I leave that the comments should say, "Please note this submission is a revision to our existing accession, 0039614. The files and folder(s) uploaded today are the most current version of the database and its supporting documents, which makes any earlier submission/version obsolete. Please replace all files/folder(s) with the ones submitted today."

The naming convention may have changed slightly and I combined a few of the csv files into a single file with multiple tables this year, but you should not need to worry about that because you will be replacing everything. I will add details in the guide I leave for the next person to maintain file names for future submission where only the date and/or version will change just to keep it simple. I also instructed them to submit everything, even if one or more items were not changed so that it is always a complete package that can replace what was last submitted.

Does that all make sense, meaning do I understand things correctly? And does that all work for you and NCEI? All tips and suggestions are appreciated. Thanks for your help here!

Best,
Amy

Hi Amy,

We received your data for the ASAMM (accession 0039614) update, but I saw no instructions in the submission package as to what you would like us to do. Are you requesting a complete replacement of the previously archived data for the next version of the accession?

Hello Errol,

Yes, please replace the old data with the new data (which is most up to date and anything prior should be considered obsolete). Good catch on the title! If there's not a word limit, this would be most accurate, "Aerial Surveys of Arctic Marine Mammals (ASAMM) collected by Marine Mammal Laboratory, Bureau of Ocean Energy Management, and other agencies in the Bering, Chukchi, and Beaufort seas, and Amundsen Gulf 1979-2019 and North Slope Borough surveys 2020 (Accession 0039614)."

Thank you for working on these updates and your detailed attention!

Best,
Amy

Hi Amy,

I was assigned to archive your recent revision to NCEI accession 0039614 submitted via S2N. Your revisions are nearly ready for publication, but I wanted to confirm that you would like NCEI to replace the data previously submitted with the data you submitted via S2N for the most recent version. Typically that is done when you email a request for the revision, but since we recommended you submit the most recent version via S2N, and there isn't a provision in S2N for that confirmation, we just need you to confirm that now.

I also wanted to let you know that after reviewing your submission, I have edited the title just a bit from what I saw in S2N, please confirm that it is acceptable, or let me know if you would like it changed: "Marine mammal aerial surveys collected by Marine Mammal Laboratory, Bureau of Ocean Energy Management, and other agencies in the Bering, Chukchi, and Beaufort Seas, and Amundsen Gulf, from 1979-04-21 to 2020-10-15 (NCEI Accession 0039614)"
